Leading Agents ("we", "us", or "our") operates the real estate CRM and related services available at leadingagents.com.au and associated subdomains (the "Service"). This Privacy Policy describes how we collect, use, store, and disclose information when you use the Service. By using the Service, you agree to this policy. We may collect the following categories of information in connection with operating the Service:
- Account and profile data: such as your name, email address, phone number, job title, agency affiliation, and credentials used to authenticate to the Service.
- Contact and CRM data: information you or your organisation enters about clients, vendors, leads, listings, and related records.
- Calendar and scheduling data: when you connect Google Calendar or similar integrations, we may process event titles, times, attendees, and related metadata as authorised by you to sync appointments and availability.
- Electronic signatures (DocuSign): when you use DocuSign or similar e-signature features, we process information required to prepare, send, track, and store envelopes and signed documents (for example document metadata, signer names and email addresses, status, and audit information) in accordance with our agreement with you and DocuSign's terms.
- Technical and usage data: such as IP address, device and browser type, log data, and cookies or similar technologies used for security, analytics, and Service improvement.
2. How we use your information
We use information to:
- Provide, operate, and improve the Service;
- Authenticate users and enforce security and access controls;
- Sync calendars where you have connected Google Workspace or other calendar integrations, to display and coordinate appointments within the Service;
- Facilitate electronic signatures through DocuSign (or integrated e-signature providers) for documents you choose to send or sign;
- Communicate with you about the Service, support requests, and important notices;
- Comply with legal obligations and respond to lawful requests;
- Analyse usage in aggregate to improve features and reliability.
3. Google API Services User Data Policy
Leading Agents' use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
Access to Google user data is limited to uses that are necessary to provide features you enable (for example calendar sync), and we do not use Google user data for advertising or sell it. Where we use restricted scopes, we request the minimum permissions needed and describe them in our product and consent flows.
4. Legal bases (where applicable)
Where the Australian Privacy Act 1988 (Cth) or other laws apply, we process personal information for the purposes described above, including where necessary to perform our contract with you, where we have a legitimate interest that is not overridden by your rights, or where you have consented (for example to optional integrations).
5. Disclosure and third parties
We may share information with service providers who assist us (for example hosting, email delivery, analytics, DocuSign, and Google APIs), subject to appropriate contractual protections. We may disclose information if required by law or to protect our rights, users, or the public. We do not sell your personal information as "sale" is commonly understood in privacy law.

We implement administrative, technical, and organisational measures designed to protect information against unauthorised access, loss, or alteration. These include access controls, encryption in transit where appropriate for the Service, and vendor security reviews for critical integrations. No method of transmission or storage is completely secure; we encourage you to use strong passwords and protect your account credentials.
